Transforming student success through strategic scheduling

The Challenge

Address inefficient schedules and outdated scheduling processes

Bergen Community College, Paramus, New Jersey, is no stranger to working within constraints and parameters. The diverse institution serves the most populous county in the state within a collective bargaining environment of more than 200 full-time faculty and four major bargaining units.


It was also an environment of inertia where schedules were rolled over semester-to-semester and many staff did not believe the schedule warranted refinement. Yet the data told a different story.


Working with Ad Astra, the institution discovered off-grid utilization at 48%. Off-grid utilization is the percentage of scheduling using non-standard meeting patterns during Primetime Hours. Off-grid waste, the percentage of capacity wasted by scheduling sections on non-standard meeting patterns, was at 20%. Classes that did run had a seat fill enrollment capacity of 65%. Productive credits were 13.3/year, and total credits were 19.5/year. Time-to-degree stood at 4.5 years with 88 credits-to-degree for a 60-credit degree. There were also 785 meeting patterns used for 2,020 sections, 2.6 average sections/pattern.

Together the team sought to create a collaborative plan that would empower progress through strategic enrollment.

The Solution:

Use data to establish a baseline to construct a master schedule

Dr. Trump and Dr. Tomko understood the insights from Ad Astra demonstrated significant off-grid waste, indicating room for improvement. To create lasting change, Drs. Trump and Tomko established key groups to discuss what would be necessary to build a vision for an organized and efficient scheduling process. This included members of the All College Forum, Faculty Senate, Chairs and Coordinators, and Deans.

 

“We wanted people to feel a sense of empowerment complemented by staff training to maintain the momentum,” Dr. Tomko said. “You don’t want to force change on people. It takes continuing and ongoing discussions to get feedback and continuous improvement.”

 

Ad Astra provided recommendations based on historical data (previous fall course enrollment numbers) and predictive data on the number of students in the pathway expected to take the course in Fall 2024. Information from campuses in Paramus and Meadowlands and online and hybrid classes provided a draft for the master schedule. The resulting implementation of a standardized course grid has helped reduce overlap and waste and has become a way to increase inclusivity with a student-centric approach.

 

“This software is powerful,” Dr. Trump said. “You can get so much information about your students, and it takes the guesswork out of scheduling.”

 

The changes are proving to be successful. There are nearly 5,000 total students already enrolled for Fall 2024, and full-time continuing credit loads are up 14%. Bergen is also rolling out a 15-to-Graduate marketing campaign to support student completion goals and boost Degree Velocity®.

 

“It’s a continuum of change...thoughtful and considered change,” Dr. Tomko concluded. “We want to keep the stakeholders involved and work from a centralized perspective. The human element is extremely important to this process.”

School Background

Bergen Community College, Paramus, New Jersey, was established in 1963. Bergen is the largest community college in New Jersey and ranked No. 1 for associate degree graduates. It is a Hispanic Serving Institution (HSI) with 40% of students identifying as Hispanic and serves more than 32,000 students in degree, continuing education, and adult education programs. The college also operates branches in Hackensack and Lyndhurst. The institution is accredited by the Middle States Association of Colleges and Schools.
